How to Cancel a Gym Membership: Notice, Fees and Proof

Cancel a gym membership with the right notice and proof. Compare plan types, copy the letter, check separate training and investigate the final bill.

Quick answer

Find the cancellation clause for your club and plan, submit notice through an accepted channel and keep proof. Ask for the effective end date and an itemized final bill. Notice periods, annual fees and cancellation rights vary; certified mail and bank-payment blocks are not universal substitutes for the required process.

Cancel a gym membership: before you cancel

  • Read the agreement and applicable law — brand averages do not establish your cutoff, fee or permitted cancellation channels
  • Use an accepted channel — use a channel permitted by the agreement or applicable law; a contract is not the only source of cancellation rights
  • Ask for end date + itemized final bill — dues during notice, annual fees, and early-termination charges are separate lines
  • Training and add-ons cancel separately — ending dues does not always end PT or kids club
  • Proof first, then dispute — keep confirmation before involving the bank

Check state law as well as the contract

A club’s published procedure does not override applicable statutory cancellation rights. For New York memberships covered by the Health Club Services Act, the Attorney General’s guidance identifies website, email, telephone, mail and in-person cancellation channels.

New York General Business Law section 624(4) requires acceptance no later than three business days after receiving notice. It also allows cancellation of an annual renewal within fifteen business days after renewal, or a monthly renewal within three business days after renewal. A pre-payment contract cutoff is not a complete statement of those rights. Processing, the effective end date and any lawful remaining charge are separate questions; request the dates and itemized calculation. Other states require their own review.

Notice periods and fees vary by location and agreement — the table shows commonly published terms; your contract controls.

1. Identify the planCountry, term and billed services
2. Use the accepted routeComplete the request
3. Save the receiptSubmission date and reference
4. Check the final scheduleAccess, payments and refunds
  1. Collect the agreement, home club, next dues date, annual-fee date, notice rules, and any training contracts.

  2. Submit notice through a channel the club accepts and save confirmation or delivery evidence.

  3. Ask for the termination date and an itemized final bill (dues during notice, annual fees, early-termination charges).

  4. Cancel separately billed services if they should end too, then watch the next draft against the confirmation.

How to cancel a gym membership: Collect four things before cancelling

  • Your membership agreement and home-club details.
  • The next dues date and any annual-fee date.
  • The notice period and whether notice must be received by a cutoff.
  • Separate contracts for training, classes or other services.

Check whether you have a flexible monthly membership, a minimum commitment or a prepaid term. Ask the club for missing documents in writing. A request for the agreement is not itself a cancellation notice.

Use a channel the club accepts

Use the member portal, email, phone, in-person form or postal address specified for your account. Save a confirmation screen, email, completed form or delivery evidence. Certified mail documents delivery where mail is an accepted method; it does not automatically satisfy every club’s requirements.

If staff give conflicting instructions, ask them to identify the agreement clause and confirm the correct destination. Applicable consumer law may provide rights beyond the contract; contact your local consumer-protection agency if the stated process seems inconsistent with those rights.

If your club accepts postal notice, check where to write the recipient and return addresses on the envelope before mailing it. Use the cancellation address specified for your membership.

Country and plan differences matter

PureGym UK flexible monthly: its terms permit cancellation in the Members Area or directly with the bank with four working days’ allowance. That exception should not be generalized to other gyms or countries. See the PureGym guide.

EōS advertises thirty-day notice for month-to-month membership. Its current pricing footer describes a monthly ACH discount; check the account’s fees separately from cancellation obligations. Use the EōS guide for the training-contract distinction.

For franchises and independent clubs, the local agreement matters. A brand-wide estimate is not enough to establish your cutoff, fee or relocation exemption.

Send a clear request

Please cancel membership [number] at [club]. I am giving notice on [date] using [accepted method]. Please confirm my termination date, remaining charges with their calculation, and whether any separately billed services remain active. I am requesting cancellation, not a freeze.

Add only information needed to identify the membership. Where a form or signature is required, provide it through the accepted channel. Retain your submission and the response together.

For a medical, relocation, military or bereavement exception, ask what evidence and eligibility rules apply. Do not assume all plans waive fees for the same circumstances or make cancellation retroactive.

Understand the final bill and alternatives

Ask separately about dues during notice, minimum-term payments, annual fees and any early-termination charge. Notice given before an annual charge does not necessarily avoid it if the membership remains active when the fee becomes due.

If considering a freeze, get its cost, end date and restart rules. If considering a transfer, get the receiving club’s price and commitment. Neither option should replace a cancellation you still want.

Verify cancellation and challenge errors promptly

Check that the account records the agreed end date, then compare later charges with the final bill. A payment taken later may relate to an earlier period, so ask what it covers. Send evidence of an incorrect charge to the club and contact your payment provider promptly about dispute deadlines.

Stopping a payment generally does not, by itself, end a contractual obligation unless the applicable terms allow that cancellation route. The FTC’s subscription guidance explains keeping records and addressing unwanted charges.

Three plan questions that change the exit

Is it flexible, committed or prepaid? A flexible plan can still have a notice deadline. A commitment can leave payments or an early-exit amount. A prepaid plan may expire, renew or have a conditional unused-time refund. Use the plan name and signed terms, not the way you usually describe your membership.

Which country and operator? A brand can use separate regional owners and agreements. Confirm the home club or operator on your invoice. A contact address from a different market may be useful for questions but is not proof that your notice reached the responsible team.

Which services are billed? List gym dues, training, childcare, session replenishment and each family member. Ending one agreement does not establish that another has ended. Obtain the accepted route and a final schedule for every service you want to stop.

Build a timeline from receipt to the final bill

Record five items together: next renewal date, annual-fee date, notice requirement, accepted receipt event and confirmed end date. If mail is accepted, add delivery time. If using a portal, save the completed receipt rather than a downloaded form or an offer screen.

Example using the current Planet Fitness eight-day FAQ rule: for a November 17 monthly draft, receipt by November 9 meets that interval; a November 1 annual fee has its own October 24 deadline. These are example account dates, not universal billing dates. Check both dates rather than using a brand’s commonly reported monthly cutoff.

Still charged? Investigate four concrete causes

  • Timing: notice was received after the applicable cutoff.
  • Completion: a required final confirmation or signature was missing.
  • Scope: training, an add-on or another member stayed active.
  • Remaining balance: the entry covers an earlier period, annual fee or commitment obligation.

Ask for the service, covered dates, agreement clause and calculation. Send the original receipt and confirmation with the statement entry. Do not assume every payment posted after termination is wrong; do not let a merchant discussion use up your payment provider’s dispute deadline.

Missing confirmation and special circumstances

If the response time passes, follow up with the original submission reference and ask what receipt date is recorded, what remains incomplete and how to correct it. Preserve the original record instead of assuming a second request must restart notice.

For an estate, a guardian-managed membership, relocation or a medical or military exception, ask who is authorized to act, what provision applies and what evidence is needed. Request a written decision about fees and effective date; those circumstances do not produce one automatic result across all gyms.

Before choosing a freeze or transfer, request the recurring cost, restart or transfer date, access conditions and any new commitment. Keep an accepted hold distinct from the permanent cancellation you requested.

Cancellation request and follow-up template

Replace the placeholders and send this only through the accepted route for your plan. Supplement a required form or use it as follow-up to a completed request. Do not include full payment-card or bank-account numbers.

Frequently asked questions about how to cancel a gym membership

Can I always cancel by certified mail?

No. Use the agreement’s accepted notice address and method. Tracked delivery documents receipt but does not override a required portal, form or other process.

Does blocking payment end membership?

Usually it needs a separate cancellation request. A plan may expressly allow a bank route, as PureGym UK flexible monthly does; do not generalize that exception.

How do I calculate the deadline?

Check the next renewal and separate annual-fee dates, the notice interval and required receipt event. Allow delivery or processing time and save the completed record.

Does cancellation end personal training?

Not automatically. Ask for each contract’s accepted request route, final balance and unused-session treatment, and obtain separate confirmation.

Are unused days or annual fees refundable?

Check the plan’s refund provision and any applicable rights. Ask for the covered period and calculation rather than assuming cancellation reverses every earlier payment.

What if the gym does not confirm?

Follow up after its stated response time with the original receipt. Ask what date is recorded and which step remains. Preserve every attempt.

Can an executor cancel for a deceased member?

The authorized representative should ask for the required evidence, applicable provision, end date and review of later charges. No single estate-cancellation outcome applies to every gym.

What if I am still charged?

Check notice timing, unfinished steps, separate services and an earlier or remaining obligation. Ask for an explanation or correction with evidence and contact your payment provider promptly about its deadline.
