Check who billed you. Microsoft 365 bought at account.microsoft.com/services is cancelled there; Apple, Google Play, or a retailer purchase is cancelled with that seller. Turning off recurring billing usually keeps access until the paid term ends; a refund only appears if Microsoft’s flow offers one. Back up OneDrive files before storage drops.
Before you cancel Microsoft 365
- Match the receipt to the account: personal, work/school, and Microsoft 365 Family organizer logins are different
- Recurring billing off ≠ instant refund: read the confirmation screen for end date and any refund amount
- Family plans: the organizer manages billing; members lose benefits when the subscription ends
- Save proof: screenshot the final page and the confirmation email
Who bills you — and where you actually cancel
| If the charge says… | Cancel here |
|---|---|
| Microsoft / MSFT / account.microsoft.com | Services & subscriptions → Manage → cancel or turn off recurring billing |
| Apple App Store / iTunes | iPhone Settings → your name → Subscriptions (see our iPhone subscription guide) |
| Google Play | Play Store → Payments & subscriptions (see our Google Play guide) |
| Amazon, Costco, or another retailer | That retailer’s return or subscription portal — Microsoft cannot cancel a third-party code purchase |
Cancel at Microsoft (direct purchase)
- Sign in to Services & subscriptions with the purchasing Microsoft account. Open the Microsoft 365 plan and note its next charge.
- Select Cancel subscription, or the Upgrade or Cancel option shown. Review the consequences and any alternative offer.
- Choose the option confirming you do not want the subscription and complete the remaining prompts. Record whether this stops renewal or ends access earlier with a refund.
- Return to the plan and save its expiration date and refund decision. If it says Turn on recurring billing, automatic renewal is already off.
- Before benefits end, complete the backup and storage checks below for the subscriber and everyone sharing the plan.
Refund windows (personal subscriptions)
For a direct Microsoft purchase, the published initial window is within thirty days of purchase or before the first recurring billing date, whichever is sooner. The latest recurring charge can qualify when cancellation occurs within thirty days after payment, limited to once per Microsoft account per subscription product. Retail codes have the seller’s return policy.
Proration also depends on the exact product and country. Check the current policy table for Basic, Personal, Family, Premium or Pro rather than assuming one refund formula. The cancellation flow determines eligibility and offers the next steps; retain its amount and decision.
Turning recurring billing off alone is not a refund application. If you want review of an earlier charge, follow the cancellation/refund flow or contact the seller. Ask when an approved credit should arrive and which payment method receives it.
Microsoft 365 for work or school
Work and school plans use administrator and business commerce processes. Identify the organization, billing-account type, annual commitment and reseller before submitting. Do not apply a consumer refund deadline to a business contract.
If you are an employee or student, ask the administrator who owns the subscription. Removing your user account or uninstalling Office is not cancellation of the organization’s bill. Back up or transfer permitted work before access is removed; do not close the tenant as a way to stop one subscription.
Read the final subscription status
| Page shows | What it means |
|---|---|
| Turn on recurring billing / Expires on | Renewal is already off; save the expiry date |
| Next charge or active renewal | Review whether cancellation actually completed |
| Refund offered | Read the amount and access consequence before accepting |
| No plan on this account | Check the purchasing account and seller receipt |
A plan staying visible after renewal is switched off is normal. Compare the recorded expiry date with your saved confirmation. If you cannot find the purchase, look for the email receipt first; a work email used to open Word may differ from the personal account that paid.
Stopping renewal does not close the Microsoft account, but losing paid storage can interrupt OneDrive and Outlook.com. Do not leave the only copy of important files in an account that will be over its quota.
OneDrive, Outlook and desktop apps after expiry
Check actual usage in the account storage dashboard. Free cloud storage is five gigabytes, and the cloud quota includes OneDrive files and Outlook.com attachments. If either cloud or mailbox storage is exceeded, email can stop sending and receiving. Reducing only the inbox may therefore be insufficient.
Microsoft warns that over-quota OneDrive files become read-only, upload and sync stop, the account can freeze after three months, and files might be permanently deleted after six months. Check the current storage policy rather than treating these periods as safe backup deadlines.
Desktop Office apps remain installed but lose paid editing functions after expiry; free web apps are an alternative for supported tasks. Existing documents do not disappear just because renewal is off. Test your intended replacement on a copy of an important file before relying on it for work.
A practical backup checklist
- Make local copies of important OneDrive folders and open a sample while offline. A cloud-only placeholder is not a completed download.
- Keep a second copy of irreplaceable files and note where it is stored.
- Check cloud and mailbox usage separately; decide whether to reduce usage or retain suitable storage.
- Warn people sharing the subscription so they can check their own files and quotas before its end date.
- Save billing receipts somewhere you can reach if the mailbox becomes over quota.
For example, if the account uses twenty gigabytes of cloud space, letting it fall to five gigabytes leaves fifteen gigabytes above that allowance. This is storage planning arithmetic, not a recommendation to delete fifteen gigabytes without checking what each item contains.
Still charged? Separate the account and the seller
- Different Microsoft account: the receipt belongs to another personal login.
- Different seller: Apple, Google Play or a retailer still has the active subscription.
- Unfinished flow: you viewed a retention offer without reaching an expiry confirmation.
- Payment timing: a charge was authorized before cancellation or belongs to another product.
Compare the receipt, authorization date, plan and cancellation record. Ask the responsible seller for its decision and any refund. For an unresolved disputed payment, ask the payment provider promptly about its procedure and deadline. Do not label every later posting an unauthorized renewal without checking its billing period.
Family, retail and estate cases
The subscription owner manages billing for a shared consumer plan. Leaving a family group or removing sharing does not prove the owner’s paid renewal ended. Tell every affected member the confirmed date and ask each to review their own storage.
For a prepaid retailer code, distinguish its remaining entitlement from a new automatic renewal. Contact the retailer about returning the code; check the Microsoft account for renewal status separately. For an estate, the authorized representative should request Microsoft or the actual seller’s deceased-account process and document the decision. See the estate billing checklist.
Would a different plan fit better?
List what you still need: desktop editing, storage, shared benefits or only occasional web access. Compare the account’s available plans before changing. A cheaper storage plan may not include the same desktop-app license, and a new purchase can have a different term from the old one.
If you switch, retain the new plan’s receipt and confirm what happens to the old renewal. Do not assume paying for another plan silently cancels a subscription owned by a different store or account.
Cancellation and billing follow-up template
Complete the cancellation in the correct account first. Copy this wording into the official support channel for missing confirmation or a disputed charge; sending a letter alone does not replace the account flow. Keep the case reference, and omit passwords, security codes and full payment-card details.
Frequently asked questions
Is Turn on recurring billing a problem?
It means automatic renewal is already off. Record the displayed expiration date instead of trying to turn billing on again.
Does stopping renewal automatically refund me?
No. Use the cancellation/refund flow for eligibility and preserve its decision, amount and access-end date.
Which initial refund deadline applies?
For a direct consumer purchase, the published policy uses thirty days from purchase or the first recurring billing date, whichever is sooner. Product and country conditions still apply.
Can Microsoft refund an App Store purchase?
Use Apple or Google Play for their purchases. Retail subscription codes follow the retailer’s return policy.
Will my documents vanish at expiry?
Cancellation does not delete the account or local documents. Paid app functions and storage allowances change; back up before expiry and resolve any excess cloud usage.
Can email stop because OneDrive is too full?
Yes. Outlook.com can stop sending and receiving when either cloud storage or mailbox storage is exceeded. Check both quotas.
Does leaving the Family group cancel billing?
No. The purchasing subscription owner must manage billing. Shared members should check the benefit end date and their own storage.
Are these the rules for a work subscription?
No. An organization’s administrator or reseller must follow its business agreement and commerce process; consumer refund windows are not a substitute.
